The challenge
Compliance across a network of more than two hundred facilities ran on spreadsheets, email chases, and local interpretation. Every audit cycle consumed weeks of clinical and administrative time reassembling evidence that already existed somewhere — and every facility did it slightly differently, which was itself a finding waiting to happen.
Our approach
We mapped the compliance obligations to the operational data that already proved them, then built automation that collects that evidence continuously — from facility systems, logs, and documents — into a single governed record per requirement, per site. Checks run on schedules instead of before audits, with exceptions routed to named owners while they are still cheap to fix.
Rollout ran in cohorts: a pilot group of facilities validated the workflows and the evidence formats with auditors, then the remaining sites onboarded in waves with training built into the process. Full coverage was reached in twelve weeks.
The results
Manual compliance effort dropped by seventy percent, audit preparation moved from weeks of assembly to a review of already-collected evidence, and leadership gained a live view of compliance posture across every facility for the first time — the difference between discovering issues in an audit and fixing them the week they appear.
